Privacy Notice

Last updated: 14 June 2026

Probans is built for environments where evidence, provenance and control matter. The same principle applies to personal data: we collect only what is needed to review and respond to a serious inquiry, and to keep the website secure.

1. Who is responsible

The controller of personal data collected through this website is Quasen.

Privacy contact: info@quasen.com

This notice applies to the public website at probans.com and to private-access inquiries submitted through it. It does not describe data processing inside customer-controlled Probans deployments, which is governed by the relevant deployment agreement and technical documentation.

2. What we collect

When you request access or contact us, we may collect:

Data Why it is needed
Name and business email To identify and respond to the requester
Organization and role To assess whether the inquiry is institutional, commercial or operationally relevant
Deployment interest To route the inquiry to the right technical or commercial context
Message content To understand the request
Technical submission metadata, such as IP address and timestamp To protect the website, prevent abuse, verify form submissions and diagnose errors

When a form is submitted, the notification sent to info@quasen.com may include the IP address associated with the submission. We use this only for security, abuse-prevention and operational context, not for profiling or marketing.

Please do not submit sensitive case files, patient data, classified material, credentials, privileged documents or production corpora through the public website form.

3. Why we use the data

We process personal data only for limited purposes:

Purpose Legal basis
Reviewing and responding to private-access inquiries Legitimate interest; pre-contractual steps where relevant
Assessing fit for evaluation, deployment, security review or partnership Legitimate interest
Maintaining website security, availability and abuse prevention Legitimate interest
Keeping necessary records for legal, compliance or dispute purposes Legal obligation or legitimate interest

Providing inquiry data is voluntary, but without it we may be unable to evaluate or respond to the request.

4. How long we keep it

We keep inquiry data only for as long as needed for the purpose for which it was submitted.

As a default:

Data category Retention
Unqualified or unanswered inquiries, including related submission metadata Up to 12 months
Evaluation, partnership or deployment discussions, including related correspondence Up to 24 months after the last meaningful contact
Security logs Up to 12 months, unless longer retention is needed to investigate abuse or protect systems
Records needed for legal claims or compliance For the period required by law or until the relevant limitation period expires

5. Who may receive the data

We do not sell personal data.

Data may be handled by trusted providers or advisors only where necessary, for example for hosting, email, website security, operational support, legal or accounting purposes. These recipients are required to process data only under appropriate confidentiality, security and data-protection obligations.

6. International transfers

Where possible, we use infrastructure and providers that keep data within the European Economic Area. If personal data is transferred outside the EEA, we use appropriate safeguards such as the European Commission’s Standard Contractual Clauses or another legally recognized transfer mechanism.

7. Your rights

Depending on the situation and applicable law, you may have the right to:

  • access your personal data,
  • correct inaccurate data,
  • request deletion,
  • restrict processing,
  • object to processing based on legitimate interests,
  • receive a copy of your data in a portable format,
  • withdraw consent, where processing is based on consent.

You may exercise these rights by contacting info@quasen.com.

You also have the right to lodge a complaint with a competent data protection supervisory authority, in particular in the country of your habitual residence, place of work or place of the alleged infringement.

8. Cookies and analytics

The public website is intended to operate without marketing cookies or behavioral tracking.

We may process basic technical logs generated by servers, forms or security systems. These logs are used to keep the website available, secure and resistant to abuse.

If analytics, advertising pixels or non-essential cookies are introduced later, this notice should be updated before they are enabled.

9. Automated decisions

We do not use website inquiry data for automated decisions that produce legal or similarly significant effects.

10. Changes

We may update this notice when the website, inquiry process or legal requirements change. The date at the top shows the latest version.
